Why a simple payoff estimate can be wrong
If the current principal balance was copied from an old schedule that assumed every payment arrived on time, it may not reflect the actual payment history. Interest accrual can also depend on dates and the agreement calculation method.
Reconciliation means rebuilding events in order
Enter the loan terms and then apply payments and other relevant transactions in chronological order. Review the resulting principal, interest, and balance after each event. Only after that history is coherent should you extend the balance to a payoff date.
Keep an audit trail
A reconciliation is easier to explain when the payment list and intermediate balances remain visible. This is especially useful when two parties have different records and you need to identify the point where the histories diverge.
Use the right tool for the right stage
If the balance is already known and the only question is a few days of per-diem interest, a simple payoff or daily-interest calculator may be enough. Reconciliation software is for the harder case where the underlying balance itself must be rebuilt.
